Your invoice may or may not include item numbers on each line.  When those numbers are missing, clickBACON will create them for you automatically so your records stay organized and consistent.


These item numbers are generated in the following format and the CB in the middle is your signal that it was created by clickBACON and not your vendor.

When Does clickBACON Generate an Item Number?


clickBACON will automatically generate item number in two situations:

  1. The invoice arrives with no item number at all. If your vendor's invoice doesn't include any item numbers, clickBACON will generate numbers for every line item on that invoice.
  2. You manually add a new line item without an item number. If you add a new item to an invoice yourself and don't provide an item number, clickBACON will generate one for that item only.



When Does clickBACON Not Generate an Item Number?


We will not create codes in the following situations:

  1. The invoice already has item numbers. If your vendor provided item numbers, clickBACON uses those and does not generate its own.
  2. You delete an item number. If you manually remove an item number (whether it was vendor supplied or clickBACON generated), we will not replace it.
  3. You modify any data on the invoice. 


Example


Here's how this works across 3 common scenarios 

  • Your invoice from Sysco has 4 items but chicken does not have an item number.  We will create a custom item number for chicken.  
  • If you add any line items, we will create an item number for any added line items that you didn't provide an item number for. 
  • If you either delete an item number or change a description we will not create an item number for that line item.  




What if I want to change the item description later?


If an item number existed, the mapping is linked to the item number so if you change a description later on, it will not affect anything as we have mapped based on the item number.  

If we generated an item code for you, changing the description later on may create duplicates within your system.
